How to Link an Existing MicroBiz Customer to an Existing FastBound Contact
If you have been using both FastBound and MicroBiz independently, you may find that you have records for the same customer in both systems. This article covers how to link existing customers in MicroBiz to existing Contacts in FastBound.
Option 1 - During FastBound Disposition
You have the opportunity to link a FastBound contact to a MicroBiz customer record quickly and easily during the Disposition Process.
Step One: Start a Disposition
After attaching a customer, saving as an Open Order and adding a regulated item with a serial number, press the gold Record Disposition button.
Step Two - Link Customer to Existing FastBound Contact or Create New Contact in FastBound
After pressing the Record Acquisition button, MicroBiz will try to find a contact in FastBound using the email or phone numberof the customer.
If the MicroBiz customer is not already linked to a FastBound Contact, MicroBiz will display two options.
1) Create New FastBound Contact - If this is a new customer that is not already in FastBound, you can press the Create New FastBound Contact button. This will create a new contact in FastBound using the customer data in MicroBiz.
2) Link to Existing FastBound Contact - If you think that there may already be a contact record in FastBound for this unlinked MicroBiz Customer, press the Link to Existing FastBound Contact button. Pressing this button will open the FastBound Contacts search screen and MicroBiz will attempt to match the FastBound contact to a MicroBiz customer using the email and phone number of the FastBound contact. You can also modify the search criteria to manually search for a FastBound contact to link.
If MicroBiz finds a match of the FastBound email and phone number in MicroBiz, you can select the FastBound contact and press the ‘Link FastBound Contact ’ button. MicroBiz will then check to see if there is any differences in the data between the two applications.
What is a duplicate is found? If MicroBiz detects multiple records in MicroBiz with the same email or phone number of a FastBound contact, it will display an alert and show all the duplicates in MicroBiz.
You can then select which customer record in MicroBiz to link with the FastBound contact. MicroBiz will also highlight which fields are different between MicroBiz and FastBound, and allow you to push any differences in these fields from FastBound to MicroBiz.
Once you have decided which fields to update in MicroBiz, you can press the Update MicroBiz Customer button and link the existing MicroBiz customer to a contact in FastBound. This link can be used for future transactions with the customer across the two applications.
Option 2: From Customer Record
You can also link an existing MicroBiz customer to a FastBound contact during the sales process from a Customer Order record. This same functionality also is available during front register transactions, al.
Step One: Add customer to order (or register transaction)
When creating a customer order in MicroBiz, attach a MicroBiz customer to a transaction using the search box at the top or the 'Find Customer' button from the Action Panel>Customer to add a customer to the transaction
Step Two: Enter 'Edit Customer' mode
Once the customer has been attached to the order, go to the Action Menu>Customers>Edit Customers to open the Edit Customer form.
Customer is Already Linked - If the MicroBiz Customer is already linked to a FastBound contact, then MicroBiz will display an orange FastBound logo next to the View Customer Sales button.
Step Three: Find FastBound Contact to be linked
If the MicroBiz Customer is not already linked, you will see a gold 'Search FastBound Contacts' button. Pressing this button will open the FastBound Contacts search screen and MicroBiz will attempt to match the MicroBiz customer to a FastBound contact using the last name of the customer. You can also modify the search criteria to manually search for a FastBound contact to link.
Step Four: Link Contact
If you find a match, you can select the FastBound contact and press the ‘Link FastBound Contact ’ button. This will link the existing MicroBiz customer to a contact in FastBound. This link can be used for future transactions with the customer across the two applications.
Question: What happens if there is not already a contact in FastBound?
You are not able to push a contact to FastBound from the Edit Customer window. However, we do allow you to push the MicroBiz customer to FastBound during the disposition process. To do this, proceeed with the disposition.
